Basic questions on HubSpot MS Teams Sync Engine

Helpful questions and answers for you, before you purchase and install the HubSpot Teams Sync Engine:

Q1:  What data is being stored outside your M365 tenant environment?

A1:  The following information is stored in our databases:

  • The purchase email has associated with the purchase, along with the contact number, email address, and tenant ID.
  • FYI , your M365 tenant ID is public knowledge – it’s not a secret. Just go to this web site: https://www.whatismytenantid.com/

  • The expiration date of your plan
  • The M365 and HubSpot tenant IDs associated with the subscription

The following information is stored with Recurly  – our online store and payment gateway:

  • Credit card information
  • Company name
  • Address
  • Contact person

The following information is NOT stored or captured by us (no slurping of your data):

  • Active directory IDs or passwords
  • Deal names, notes, or any information related to your deals
  • Your browser history

Q2: How does the syncing work to MS Teams?

A2: The syncing engine is in your Azure environment and we install, deploy, and configure it for you.  SoHo sets this up for you.

We will discuss this with you prior to the installation.

Q3:  So the sync engine is run in your Azure environment. What is that?

A3: Azure is Microsoft's cloud offering.  It's part of your M365 subscription.  You may need to activate this before we install anything.

Q4:  Are there additional costs associated with the sync engine?

A4: There are:

1. Subscription costs (Recurly- Our payment subscription service).

2. Azure subscription   hosting costs.  

Q5: Per month, how much do the Azure subscriptions cost in total?

A5: In this example, if there if 20-30 deals that have notes being synced, every 30 minutes, from the hours of 8 am - 9 pm, this shouldn't cost more than $10-$15 per month.

We can change the syncing times according to your needs.   

The subscription is monthly and you can cancel at any time.

Q6: Can HubSpot notes sync to multiple M365 tenants? 

A6: No.

Q7:  Can I install the sync engine myself, without the SoHo team?

A7:   No.  We like to make sure that everything is set up correctly and that you are ready to go. That means we will need access to your M365 Azure and HubSpot environments. See Installation.

Q8: Can I try it before I buy it?

A8: Of course. We have a 30-day trial on the subscription, but the installation fee is nonrefundable.

A9: Does the syncing occur on all the Deal pipelines?

A9: Yes. By default, it is on all pipelines.

NOTE:  All the stages in the pipelines must be the same for the channel creation and archive

Q10: Do I need a credit card for the trial version?

A10:  Yes.

Q11:  Do you provide MS Teams training with the install?

A11:   No. But we have a training academy with courses.

Q12:  Is there a limit on the number of channels in a Team?

A12:   Yes, 200 is the Microsoft Channel limit.

Q13:  Do Teams users need to be HubSpot users or vice versa?

A13:  No.
